Overview
The donation overview system I've designed is a game-changer for the organization, streamlining the management of daily donations by replacing manual processes with an efficient computer-based solution. Branch managers can easily input donation details, ensuring accuracy and eliminating the need for manual record-keeping and phone calls. This system serves as a central repository, providing a comprehensive overview of incoming donations, donor information, types, quantities, and dates. Its automated functionality intelligently matches donation requests with available volunteers, expediting pickups. Additionally, it generates insightful reports and analytics, empowering to make data-driven decisions and enhance overall efficiency, ultimately advancing mission.
Market analysis
I set out to research direct and indirect users who have a similar product
I've embarked on a research initiative to comprehensively study both direct and indirect users of a similar product. This holistic approach aims to uncover deep insights into user needs and the broader ecosystem. By doing so, I intend to design a product that addresses the diverse needs and interactions within this user landscape.
Indirect competitors
I researched delivery systems for food, clothes and more
Direct competitors
I was looking for similar products such as sharing details that are not needed or donations to needy families
Survey
I'm investigating user issues for understanding the need for the product
I sent a survey to administrative professionals and association secretaries to identify the obstacles they encounter when there's no system in place for managing surplus food donations. These discussions revealed key challenges related to donation tracking, volunteer coordination, and timely deliveries, offering valuable insights to inform the efforts in creating a more efficient solution.
In your opinion, how important is it to have a donation management system?
How do you currently receive a notification about a new donation and send volunteers?
What specific difficulties do you encounter in assigning volunteers to collect food donations?

Goals
- Improved coordination: Coordination between food donors, volunteers and needy families should be improved, while ensuring timely and fair distribution.
- Increased support for families: to ensure that donations reach as many needy families as possible.
Pain points
- Manual coordination results in delays and inefficiencies, hindering smooth operations and timely assistance.
- The rise in food waste creates an urgent need for more efficient donation management, minimizing unnecessary wastage.
- Limited support for needy families underscores the importance of optimizing resources and processes to reach those who require assistance the most.**
Emily, a secretary in a charitable organization, is known for her diligence and meticulous attention to donation details. Her empathy and strong interpersonal skills enable her to build robust relationships with donors, volunteers, and distribution stations.
Backround
Brands
"Many times it is difficult to deal with many tasks at the same time and to ensure effective coordination between donors, volunteers and distribution stations"
Problems
After interviews and the surveys I checked
Problems
- Optimizing Volunteer Selection for Efficient Donation Collection:Not all volunteers are equally skilled, so we needed a better way to choose the right ones for the task. This highlights the importance of optimizing volunteer selection for efficient and secure donation collection.
- Distribution Station Prioritization: Prioritizing distribution stations based on donation levels was crucial for efficient resource allocation.
- Location Tracking: Tracking volunteer locations during donation pickups helped us update distribution stations and monitor progress.
- Detailed Donation Information: Maintaining comprehensive records of donation type, expiration dates, and special comments was essential for effective donation management.
User Journey
I created a journey of the user what he does, thinks and says in the process before the creation of the system
User Flow
I created a flow how the users using the system in comfortable way.
Solution
1. Selective Volunteer Assignments: We now offer secretary the choice to either send donation collection requests to all volunteers or select from a list based on their history, improving efficiency and security.
2. Prioritizing Distribution Stations: Our dashboard features a graph highlighting the distribution stations with the greatest need, enabling us to allocate resources more effectively.
3. Volunteer Location Tracking: We track each volunteer's progress during donation pickups in real-time, ensuring transparency and efficient updates to the secretary.
4. Donation Details: our system now provides an immediate overview of each donation when it is entered into the system, including expiration dates and types, streamlining donation handling and minimizing waste.
Solution
We found solutions to all the problems written above

Here we have Donation Details: the system now provides an immediate overview of each donation when it is entered into the system, including expiration dates and types, streamlining donation handling and minimizing waste.
Visual Design
I've used clear colors for donation statuses, mainly sticking to blue to reduce interface confusion.
In my visual design, I've chosen colors that enhance system clarity without unnecessary complexity. Different colors signify various donation statuses, ensuring clear distinctions. I've exclusively used the color blue to maintain simplicity and prevent user confusion, deliberately avoiding additional hues or illustrations. This approach prioritizes user-friendliness and enhances the overall user interface experience.
Solutions
Prototype
In the dashboard you can see that I solved the problems in the system such as lack of distribution stations and placement of volunteers
By opening a pop-up on side, I gave the secretary the option to choose from a list of volunteers who are suitable for the donation or to choose all volunteers
I have incorporated a progress bar in the system, providing the secretary with the capability to track the status and location of donations, facilitating efficient reporting to distribution stations.
